Lease, rental and fleet work, billed to the company that pays.
Keep lease, rental and company fleet accounts beside your warranty companies. Each account holds its vehicles and drivers, an agreed labour rate and parts markup, how it authorises work, and its jobs, invoices and payments, all on one page.
Work for lease companies, rental firms and local businesses with a few vans can keep a garage busy all year, but it comes with rules. The car belongs to one company, the driver is someone else, the work needs an auth code before anyone picks up a spanner, the company has its own agreed labour rate, and the invoice has to carry the right reference or it sits unpaid. AutoChain keeps all of that on the account. Add the company once with its vehicles, drivers, agreed prices and how it approves work. When one of its cars is booked in, the account comes with it, the agreed rate is used, and the job warns you until the auth code is in. The invoice goes to the account with the reference printed on it, and when the company pays several invoices in one go, you record the remittance once and allocate it across them.

Get started freeThe account pays, the driver brings the car
Fleet work has two people on every job: the company that pays and the driver who drops the car off. When you book one of an account's cars in with the new booking screen, AutoChain shows the account with its agreed rate, its parts markup and how to get an auth code, and lists the driver separately. Change the driver there if someone else brings the car.
Each account is one of four types. Lease or contract hire has vehicles with named drivers and auth codes before work. Rental or hire works with branches and PO numbers. Company fleet is a business that owns its vans or cars outright. Warranty covers the warranty companies you already invoice. Each type starts with sensible defaults, and you can change any of them.
The account page brings it together: how many vehicles are active, how many MOTs are due in the next 30 days, how many jobs are waiting for authorisation and how much is outstanding, with tabs for vehicles, jobs and invoices, payments and the account's settings.
Every capability, at a glance
Everything on this page is in the core plan (£69.99/mo + VAT) unless it's marked as an add-on. SMS (£15/mo, 200 credits included) and HaynesPro (£49.99/mo per site) are optional add-ons. Prices exclude VAT.

Simple from day one
Setup takes about 10 minutes and there's no training course to sit through. Built for busy garages.
-
Turn on fleet accounts
The owner switches on Fleet accounts under Settings, Invoices & Estimates. Warranty Companies in the sidebar becomes Fleet & Warranty, and nothing changes for your warranty companies.
-
Add the account
Choose the type, then add the invoice email, payment terms, how the company approves work, its reference label, its agreed labour rate and parts markup, and its contacts.
-
Put its vehicles on
Add cars one at a time, import them from a CSV, or let them join the account as they are booked in. Each car can have a named driver.
-
Book in, authorise and invoice
Book a car in and the account comes with it. Add the auth code when you get it, and the invoice goes to the account with the reference printed. Record the payment when the remittance arrives.

The real impact on your garage
-
The agreed rate, every time
Each account can have its own labour rate and parts markup, so a fleet job is priced the way you agreed without anyone remembering to change it.
-
No work without an auth code
Set an account to need a code or PO before work starts, and the job shows a warning until it has one. Your reference label is printed on the invoice.
-
Know whose car it is
Every vehicle on the account has its driver, so the booking, the job and the invoice all show who brought the car and who pays.
-
MOTs you can plan for
See which of an account's vehicles have an MOT due in the next 30 days, and book them in from the same list.
-
Remittances in one go
When a company pays several invoices with one BACS payment, record it once and allocate it across the invoices it covers.
-
Warranty work unchanged
Your warranty companies sit beside the new accounts and work exactly as before. Turning fleet accounts off hides them, and nothing is deleted.
Fleet Accounts: common questions
Straight answers to what garages ask us about this feature.
What kinds of accounts can I add?
Four types: lease or contract hire, rental or hire, company fleet, and warranty. Each starts with defaults that suit it, such as auth codes before work for lease and PO numbers for rental, and you can change any of them.
Can an account have its own labour rate?
Yes. Each account can have an agreed labour rate per hour and a parts markup. When you book one of its cars in, its jobs are priced at those instead of your garage's usual rates.
How do auth codes work?
Set the account to need a code or PO before work starts and give it your own reference label, such as Auth code or PO number. The job shows a warning until the code is added, you can add more codes for extra work, and the reference is printed on the invoice.
How do I add a fleet's vehicles?
Add them one at a time, import a CSV, or let them join the account as they are booked in. You can export the list as a CSV, and a vehicle you take off the account keeps its history.
Can I record one payment for several invoices?
Yes. Record payment on the account lets you enter one remittance and allocate it across the account's open invoices.
Is it included?
Yes. Fleet accounts are part of the core plan at £69.99/mo + VAT. The owner switches them on in Settings, and managers and site managers set the accounts up. Service advisors can open accounts, book cars onto them and add a basic account while booking.
