Switching to garage management software from paper or spreadsheets

A practical plan for moving a garage off a paper diary or spreadsheet: what to set up first, how to move your bookings across in the first week, and what your first month should look like.

Last updated 11 min read

If your garage still runs on a paper diary, a wall planner or a spreadsheet, you already know where it hurts: the double booking nobody spotted, the job card that went missing, the MOT reminder that never got sent because nobody had time to go through the book. Switching to software does not have to mean a lost week or a workshop in chaos. This guide sets out what to set up first, how to move your bookings across in the first week, what the first month should look like, and the mistakes that make a switch harder than it needs to be.

Why switch from paper or a spreadsheet

A paper diary works until it doesn’t. It lives in one place, so only one person can read it at a time, and the technician in the back bay has to walk to the front desk to find out what is next. Nothing warns you when two jobs land on the same technician at the same time. If the book is lost, soaked or left at home, the bookings go with it.

Spreadsheets fix some of that and add their own problems. Two people edit the same file and one set of changes disappears. There is no link between the booking, the job card, the invoice and the car, so you type the same registration and customer details three times.

The bigger cost is what paper cannot do at all. It cannot tell you which cars have an MOT due next month. It cannot show a customer photos of a worn brake pad. It cannot tell you at five o’clock what the day was worth. Good garage management software holds all of that in one place, and the history builds up on every vehicle each time it comes back.

The point of switching is not to look modern. It is to stop relying on memory and goodwill for the things that keep your bays full and your invoices paid.

What to set up first

You do not need everything configured before you take your first booking. Set up the basics that every job depends on, then add the rest as you go. Signing up and getting to your first booking takes about 10 minutes for most garages.

Your account

Create your AutoChain account. The first month on the core plan is free and you do not need a card to start, which gives you a full month to settle in before you pay anything.

Garage details and opening hours

Add your garage name, address, phone number and logo. Your logo appears on invoices, estimates and customer emails, so it is worth doing on day one. Set your opening hours and any closed dates. These matter more than they look: if you later add the online booking widget to your website, it only offers customers slots inside your opening hours when a technician is free.

Staff and logins

Add everyone who will use the system, each with their own login. There is no per-seat charge, so there is no reason to share a login, and a shared login means you can never tell who did what. Add your technicians first, because the day view of the calendar gives each technician their own column with the hours they have booked. If someone is on holiday, record it so their leave shows on the calendar and nobody books work against them.

Services and prices

Write down the jobs you do most often and what you charge for them: labour rates, standard services, MOTs, common repairs. If you plan to take online bookings, list the services customers can book, each with a price and how long it takes. If you hold parts on the shelf, add the ones you use most, with cost and sales prices, so they carry onto jobs and invoices at the right price.

VAT settings

Check this before you raise your first invoice. AutoChain supports non-VAT, VAT-inclusive and plus-VAT invoices, and shows the right breakdown for each. While you are in the settings, pick an invoice layout in the invoice designer and set your colours, payment terms and footer text.

Your accounts connection

If you use Xero, QuickBooks Online or Sage Accounting, connect it. Invoices, payments and credit notes then go across as they happen, and existing contacts are matched to your AutoChain customers by email when you connect. One accounting package can be connected at a time. If you want customers to pay invoices online by card, complete Stripe’s own onboarding from your settings as well. Card processing fees apply.

Supplier accounts

Add the suppliers you buy from, with their contact details, so purchase orders have somewhere to go. If you have a GSF Car Parts or GroupTyre trade account, request the connection from Settings > Integrations. For Oak Tyres, contact us with your trade account number and we link it for you.

Customers and vehicles: add them as they come in

You do not need to type up your old diary before you start. Add each customer the first time they book or turn up. Enter the registration and AutoChain fills in the make, model, year, fuel type, engine size, MOT expiry and tax due date, and loads the DVSA MOT history with any recent advisories. For a new customer, type the postcode and pick the address from the list. Over the first few weeks your regular customers are added, with accurate vehicle details, because the details came from a lookup rather than a keyboard.

A realistic timeline for your first month

Most garages are not short of ideas when they switch. They are short of time. The plan below keeps the workshop running while the new system beds in.

Week 1: move all new bookings into AutoChain straight away

Keep the paper diary only as a reference for jobs already booked, then retire it. Use the registration lookup on every job, assign a technician and a time, and get used to dragging jobs around the calendar.

This week is about building the habit. With every new booking in one place, nothing depends on someone remembering to copy it across.

Week 2: run the workshop from AutoChain

Once the jobs that were already in the paper diary are done, retire it. Technicians check their day on the calendar instead of the front desk. Move jobs through their statuses (scheduled, checked in, in progress, completed) and use the jobs board to see which cars are waiting for authorisation, parts or payment. Start raising estimates in AutoChain too, so an accepted estimate turns into a job in one click.

Weeks 3 and 4: invoices, reminders and health checks

Now raise every invoice from the job, so parts and labour carry over without being retyped. If you connected your accounts package, check that the first few invoices and payments arrive there as you expect.

Set your MOT reminder lead time and choose email or SMS. AutoChain keeps each vehicle’s MOT due date up to date from DVSA records and sends reminders automatically, so the reminder list grows every time a new car goes through the system.

This is also the time to try your first digital vehicle health checks. Pick one or two technicians, have them run a check on a phone or tablet at the car, and send it to the customer to approve.

After a month: decide, then add what you need

At the end of the free month, the core plan continues at £69.99 a month plus VAT (see AutoChain pricing). By now you will know which extras are worth it. The SMS add-on powers booking reminders and SMS MOT reminders. HaynesPro brings repair times and technical data into the job. The online booking widget can go on your website once your services, prices and opening hours are right.

Look at the dashboard at the end of a week: revenue from completed work, predicted revenue from scheduled work, and jobs by status. It is a view of the business that a paper book cannot give you.

What AutoChain does and what you do

Software takes a lot of the routine work off you, but not all of it. Being clear about the split avoids disappointment in the first month.

What AutoChain does

  • Looks up the vehicle from the registration and loads its DVSA MOT history
  • Fills in a new customer’s address from the postcode
  • Warns you before a technician is double-booked
  • Tracks MOT due dates and sends MOT reminders automatically, skipping cars already booked in
  • Sends an overdue MOT chase email after the expiry date, once the grace period you set has passed
  • Sends SMS booking reminders before appointments (SMS add-on)
  • Works out VAT on estimates and invoices, and carries parts and labour from the job to the invoice
  • Marks pay-online invoices as paid when the customer pays through Stripe
  • Deducts parts from stock when the job is invoiced
  • Sends invoices, payments and credit notes to Xero, QuickBooks Online or Sage Accounting once connected

What you do

  • Add customers and vehicles as they come in
  • Confirm online booking requests before they go in the diary
  • Carry out the health check and decide what to recommend
  • Send service, advisory and general reminders from the customer record when you choose
  • Place your orders with your suppliers
  • Record cash and card payments taken at the counter
  • Keep your prices, opening hours and staff list up to date

Getting the team on board

The software is the easy part. Getting the whole team to change how they have worked for years is harder.

Involve them early. Show the technicians the calendar and the health check before you go live, not on the Monday morning. Ask the person on the front desk what slows them down now, and show them how the registration lookup and customer search deal with it.

Pick one person to own the switch. In a small garage that is usually the owner or the person who runs the desk. They learn it first, answer the questions and decide what gets set up when.

Give everyone their own login on day one. It means each technician sees their own day, and you can see who moved a job or raised an invoice.

Start with the parts of the job that help each person straight away. For technicians, that is seeing their day without walking to the office and having the MOT history in front of them before the bonnet is up. For the front desk, it is no more rewriting job cards into invoices. Leave the reports and the extras for later.

Expect a slower week. Everyone takes a little longer on the first few jobs. That is normal and it passes quickly.

Common mistakes to avoid

Running two diaries. Writing every booking twice wears people out, and the two diaries drift apart. Put new bookings straight into AutoChain, use the paper diary only for jobs already in it, and set a date to retire it.

Trying to set up everything before going live. You do not need every part and every service price in on day one. Get the basics right and add the rest as jobs need them.

Typing up the old paper diary. Weeks of evenings spent copying old job cards rarely pay off. Add customers as they come in and let the history build naturally.

Skipping the contact details. MOT reminders need an email address or, for SMS, a mobile number. Booking reminders go by text, so a customer without a mobile number on file does not get one. Ask for both every time a new customer books.

Sharing one login. It saves nothing, because employees are unlimited, and it hides who did what.

Leaving VAT settings until the first invoice. Check them during setup, not with a customer waiting at the counter.

Switching on online booking too early. Put the widget on your website once your services, prices, durations and opening hours are right, so customers can only book what you can actually deliver.

Switching from another system

If you are moving from another garage system rather than paper, the setup steps above still apply. Talk to us about bringing your data across before you start: book a demo and we can go through it with you.

How AutoChain helps you switch

AutoChain is built for independent UK garages, including those coming straight from a paper diary. Every job starts with a registration lookup and the DVSA MOT history, sits in a drag-and-drop calendar that warns you about clashes, moves through clear statuses on the jobs board and turns into a VAT-ready invoice without retyping. The history stays with the vehicle, so each visit makes the next one quicker. See how garage job management software works in AutoChain, or start your free month and book your next job in it today.

FAQ

Questions garage owners ask

Do I need new computers or equipment to switch?

No. AutoChain runs in the web browser on the desktop, laptop, tablet or phone you already have, with no on-site server. You do need an internet connection.

Do my technicians need to install an app?

No. Health checks and jobs open in the web browser on any phone or tablet, so there is nothing to download. Each technician signs in with their own login.

Is there a contract if we decide to stay after the first month?

No. AutoChain is a monthly rolling subscription with no setup fee, and you can cancel at any time.

Will I pay more as I add staff?

No. Every plan includes unlimited employees with their own logins and permissions, so adding a new technician or a part-time receptionist costs nothing extra.

Are add-ons free during the first month?

No. The first month is free on the core plan only. Add-ons such as SMS and HaynesPro are billed from the day you add them, so you can try the core system first and add them when you are ready.

What should I do with my old paper diaries and job cards?

Keep them. They are still your record of past work. Leave them on the shelf for reference and build each vehicle's history in AutoChain from its next visit.
